    XRVE Reliability Privacy Notice

    Last updated September 27, 2026

    Core data principle

Customer operational data remains customer data. XRVE Reliability processes submitted information to provide, secure, support, and improve the services described below.

    1. Scope

This Privacy Notice explains how XRVE Reliability collects, uses, discloses, stores, and protects information when you visit getmaintenanceai.com or xrvereliability.com, complete an assessment, request a resource, use a customer portal, submit maintenance data, or otherwise interact with XRVE Reliability.

For business customers, XRVE Reliability may act as a processor or service provider when processing personal data solely on the customer's instructions. The applicable Customer Agreement and Data Processing Addendum govern that processing.

    2. Information we collect

Depending on how you use XRVE Reliability, we may collect:

    • Business contact information: name, work email, company, role, and information you submit through forms.
    • Maintenance and operational information: CMMS exports, asset registers, work orders, PM records, technician notes, failure history, backlog data, site rules, and related information approved by the customer for analysis.
    • Assessment information: answers, maturity scores, maintenance-process information, and requested services.
    • Technical and security information: IP address, browser user agent, referrer, landing page, form timing, anti-bot verification results, audit events, and security signals.
    • Communications: information contained in emails, support requests, project discussions, or other communications with us.

    3. How we use information

We use information to provide requested services, generate maintenance and reliability analyses, deliver reports and assessments, communicate about requested services, authenticate and secure access, prevent fraud and abuse, troubleshoot technical issues, maintain audit records, comply with law, and improve XRVE Reliability.

XRVE Reliability does not sell personal data. XRVE Reliability does not use customer maintenance data for targeted advertising.

    4. Customer data and model improvement

Customer retains ownership of Customer Data. XRVE Reliability may use aggregated or de-identified information that does not reasonably identify the customer, customer personnel, customer facilities, or specific customer assets for analytics, benchmarking, security, research, service improvement, and product development.

XRVE Reliability may improve general methods, workflows, software, and know-how based on experience providing the service, provided Customer Confidential Information is not disclosed.

    5. Service providers and disclosures

XRVE Reliability may disclose limited categories of information to service providers that support the Services. Business contact and communications information may be processed by email and communications providers. Technical and security information may be processed by hosting, network-security, anti-bot, and infrastructure providers. Customer maintenance data may be processed by hosting, file-processing, analytics, or artificial-intelligence infrastructure providers only as reasonably necessary to provide the requested Service and subject to applicable contractual restrictions.

Categories of third parties may therefore include cloud and hosting providers, security providers, email and communications providers, artificial-intelligence infrastructure providers, file-processing providers, professional advisers, and authorities where disclosure is legally required. XRVE Reliability does not sell personal data and does not disclose Customer maintenance data for third-party targeted advertising.

We may also disclose information when required by law, to protect rights or security, in connection with a business transaction, or at a customer's direction.

    6. Cloudflare and security services

The public site may use Cloudflare services, including Turnstile, for security, bot detection, network protection, and delivery. Those services may process technical request and browser information necessary to provide security functions.

    7. Data minimization and restricted data

Customers should submit only information reasonably necessary for the requested maintenance analysis. Unless separately agreed in writing, do not submit classified information, export-controlled information, credentials, payment-card information, protected health information, Social Security numbers, government secrets, or other highly sensitive information unrelated to maintenance operations.

    8. Security

XRVE Reliability uses reasonable administrative, technical, and organizational safeguards appropriate to the current service, including access controls, security headers, request validation, rate limiting, audit events, and controlled pilot access. No internet-connected service can guarantee absolute security.

    9. Retention

We retain information for as long as reasonably necessary to provide the service, maintain business and security records, meet contractual commitments, resolve disputes, and comply with legal obligations. Retention periods may vary by data type and customer agreement. Customer data may be deleted or returned following termination as described in the applicable Customer Agreement or Data Processing Addendum.

    10. Privacy rights and appeals

Depending on applicable law and your relationship with XRVE Reliability, you may have rights to request access, correction, deletion, portability, or information concerning certain processing, and to opt out of processing where applicable.

To make a privacy request, contact [email protected]. We may need to verify your identity and authority before acting on a request.

If applicable law gives you a right to appeal a decision on a privacy request, submit the appeal through the same contact method and clearly identify it as a Privacy Appeal. We will review the appeal and respond as required by applicable law.

    11. Business-to-business information

XRVE Reliability primarily serves businesses. Some privacy laws distinguish information processed in a consumer context from information processed in an employment or business-to-business context. This notice provides transparency regardless, while statutory rights apply to the extent required by applicable law.

    12. Children

XRVE Reliability is a business maintenance and reliability service and is not directed to children. Do not submit children's personal information through the service.

    13. Changes

We may update this notice as the service, vendors, data practices, or applicable requirements change. The date above identifies the current version.
